Skolika takes the protection of personal data seriously, including the data of people who never signed up with us themselves — the students and families whose records an academy keeps here. This policy explains what we collect, why, who we share it with, and what you can ask us to do about it.
1. Two different roles, and why the difference matters
Skolika handles personal data in two distinct capacities, and your rights differ depending on which applies:
- As controller, for the people who hold a Skolika account — academy owners, managers, teachers and staff. We decide what we collect from you and why, and this policy governs it.
- As processor, for the student and family records an academy enters. The academy decides what to record and why; we hold and process it on their instructions. If you are a student or a parent, the academy that teaches you is the first place to ask about your data. Write to us at info@skolika.com and we will pass your request to them and help them answer it.
2. What we collect
From account holders: name, email address, phone number, country and timezone, profile photo, the academy’s name and public page details, subscription and billing records, and your language and display preferences.
Automatically, when you use the Service: IP address, browser and device type, operating system, pages viewed and the time of the visit, and error diagnostics. This is used to keep accounts secure, to fix faults and to understand how the product is used.
Communications: messages sent through the Service, support requests, and records of reminders sent on your behalf.
Entered by an academy about its students: name, contact details for the student and their guardian, class enrolment, attendance, marks, teacher notes, and a record of what has been paid and what is outstanding.
If you connect an integration: the scheduling metadata needed to create and sync a class — for example the calendar entry and meeting link when Google Calendar, Zoom or Google Meet is connected.
What we do not hold: your students’ tuition payments. They never pass through Skolika, so we hold no card or bank details for them; only the record of payment an academy chooses to enter. Card details for your own subscription are handled by our payment processor and are never stored on our servers.
3. Why we process it
- To perform our contract with you — running your academy, holding classes, sending the reminders you configured, billing your subscription.
- Legitimate interests — keeping the Service secure, preventing abuse, supporting you, and improving the product.
- Legal obligation — accounting, tax and responding to lawful requests.
- Consent — marketing email, non-essential cookies, and any integration you switch on. You can withdraw consent at any time.
4. Children
Skolika accounts are for adults. Many of the students recorded in Skolika are children, and their records are entered by the academy that teaches them. The academy is responsible for obtaining the consent of a parent or guardian and for deciding what is appropriate to record. We do not knowingly collect personal data directly from a child. If you believe a child’s data is held here without a proper basis, write to info@skolika.com and we will act with the academy to correct or remove it.
5. Who we share it with
We do not sell personal data. We share it only with providers who help us run the Service, each bound by a contract limiting them to that purpose:
- Payment processing for your subscription (Stripe).
- Live classes and calendars (Zoom, Google Meet, Google Calendar) when you connect them.
- Messaging — email and WhatsApp providers, to deliver the reminders and notifications you configure.
- Hosting, backup and error monitoring.
- Analytics, only where you have accepted statistics cookies — see the Cookie Policy.
Mobile phone numbers and text-messaging opt-in records are treated separately and more strictly than everything above: no mobile information is shared with third parties or affiliates for marketing or promotional purposes — see section 6.
We may also disclose data where the law requires it, or to establish or defend a legal claim. If Skolika is ever involved in a merger or acquisition, we will tell you before your data becomes subject to a different policy.
6. Text messaging (SMS) and mobile information
Where an academy has switched texting on, its messages are sent from that academy’s own messaging account and its own number, and Skolika is the software that delivers them. What follows applies to every academy on the platform, and to the messages we send you about your own account.
Consent. A mobile number is texted only where consent has been given — by ticking the SMS consent box on a Skolika form, by switching SMS consent on in your account settings after confirming the number with a six-digit code, by giving your number and consent to your academy directly, or by texting the academy first. Messages about something you already booked or enrolled in are part of that service; anything promotional needs an explicit opt-in on a confirmed number. Consent to receive text messages is not a condition of enrolment or of any purchase.
What we record. The number, whether consent was given and when, whether the number has been confirmed, every opt-out, and a log of each message sent and what the carrier reported back. That log is how a number can be shown to have been messaged with permission, and how an opt-out is proved to have been honoured.
Message frequency and cost. Message frequency varies. Message and data rates may apply.
Opting out. Reply STOP to any message; you will receive a single confirmation message and no further texts. A stop request is recorded against your contact and blocks both service and promotional texts until you lift it yourself. You can also switch SMS off at any time in your account settings. Reply HELP for help, write to info@skolika.com, or use the contact details on your academy’s page.
Carriers are not liable for delayed or undelivered messages.
No sharing of mobile information.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
The only third parties that ever see a mobile number are the messaging and telecommunications providers that carry the message, and they act on our and the academy’s instructions to deliver it and for nothing else. We do not sell mobile numbers, we do not rent them, and we do not pass opt-in records to anyone for their own marketing.
7. Cookies
We use cookies for the things that make the site work, to remember your preferences, and — with your consent — to measure usage. The groups, the individual cookies and how to change your choice are set out in the Cookie Policy.
8. How long we keep it
Account and academy data is kept for as long as the account is open. After an account is closed you have 30 days to export your data, after which it is deleted from live systems; routine backups age out on their own cycle. Records we are required to keep for accounting or tax reasons are retained for the period the law sets, and nothing longer.
9. Your rights
Depending on where you live, you may have the right to:
- see the personal data we hold about you;
- have it corrected or deleted;
- withdraw a consent you gave;
- object to processing, including for direct marketing;
- receive your data in a portable format — every account can export its own records as a single file at any time;
- complain to your data protection authority.
Write to info@skolika.com. We answer within 30 days. Where the data belongs to an academy’s students, we forward the request to that academy, because it is theirs to decide.
10. International transfers
Skolika is operated from the United States and serves academies worldwide, so your data may be processed outside the country you live in. Where it is transferred out of a region with data-transfer rules, we rely on the safeguards that region requires, such as standard contractual clauses.
11. Security
Traffic is encrypted in transit (TLS). Access to production data is restricted to staff who need it and is logged. Passwords are stored hashed, never in readable form. No system is perfectly secure; if a breach affects your data we will notify you and the relevant authority as the law requires.
12. Integrations you switch on
Connecting Google Calendar, Zoom or Google Meet needs your explicit authorisation and can be revoked at any time — from Skolika, and from the provider’s own settings. Google user data received through these integrations is used only to create, read and update the calendar entries and meeting links for your classes, and is never used for advertising or sold to anyone.
13. Messages we send
Service messages — a class reminder, a payment notice, a security alert — are part of the Service and, by email and inside the product, cannot be switched off while the account is open. Marketing email always carries an unsubscribe link, and unsubscribing does not affect your service. Text messages are the exception: they can always be stopped, service ones included, as section 6 describes.
14. Changes to this policy
We may update this policy. A material change will be announced by email or prominently in the product before it takes effect, and the date at the top of this page will change.
