Privacy and data protection

Skolika is software that schools, academies and teachers use to run their classes, enrolments, attendance, grades and invoices. This page explains what personal data is held, why, for how long, and how you can see it, take a copy, correct it or have it removed.

Who is responsible

For the records a school keeps about its students, families and staff, the school decides what is collected and why, and Skolika processes that data on the school’s behalf. For your own Skolika account, and for running the platform itself, Skolika is responsible.

What data is held

Account details: name, email address, phone number, time zone, language, and a password stored only in encrypted (hashed) form.

Student and family details entered by a parent or a school: names, dates of birth, guardian contact details, classes, enrolments, attendance, grades, teacher notes and report cards.

Billing records: invoices, tax invoices, payments and refunds. Card details are handled by the payment provider and are not stored by Skolika.

Messages sent through Skolika, and technical data such as IP addresses and the cookies described in the cookie policy.

Why it is used

To provide the service you or your school signed up for: running classes and lessons, recording attendance and progress, sending invoices and reminders, and letting schools, teachers and families communicate. Also to keep accounts secure, to prevent fraud, and to meet legal obligations such as keeping tax records.

Legal basis

Personal data is processed because it is needed to provide the service under the agreement with you or your school; because the law requires it (for example tax and accounting records); or because you consented, for example to marketing messages or optional cookies. Where processing relies on your consent, you can withdraw it at any time from your account settings, and withdrawing does not affect processing that already took place.

How long it is kept

Data is kept while your account or your school’s use of Skolika is active. When an account is deleted, names, contact details and dates of birth are removed or anonymised. Invoices, tax invoices and payment records are kept for the period that tax and accounting law requires, but no longer show who they belonged to. A record that a request was made and handled is kept so that it can be shown later.

Your rights

You can ask to be informed about how your data is used, to see it, to receive a copy, to have it corrected, to have it deleted, and to withdraw consent you gave. You can also complain to the data-protection authority in your country; in the Kingdom of Saudi Arabia that is the Saudi Data and AI Authority (SDAIA).

How to make a request

Signed-in users can download their data and request deletion of their account themselves on your account page. Most details can be corrected directly in your profile.

If your data was entered by a school, you can also ask the school, which can export its records and ask for a former student’s data to be removed. For anything else, contact us using the details below. We answer requests without undue delay.

Children

Children’s records are created and managed by their school or by a parent or guardian. A parent who manages a child’s account can download that child’s data together with their own.

Who receives the data

Skolika does not sell personal data. It shares only what is necessary with service providers that help run the platform, such as hosting, email, text messaging, video-meeting and payment providers, and with the school you or your child belongs to.

Transfers outside your country

Some of these providers may process data outside the Kingdom of Saudi Arabia or outside your own country, for example to deliver email or run a video lesson. Where that happens, only the data needed for that task is transferred, and only under the safeguards that applicable law permits.

Where the data is hosted

The hosting location is available on request. Please contact us using the details below.
